How do Elexio Check-In Hardware Pagers Work?

Elexio Check-In Hardware Pager Process

Elexio Check-In has the ability to create events that use physical hardware pagers and can help you keep track of these pagers through the use of barcoded identifiers. This works the best when you use events that require check out, although this is not required. It may help to think of interactions with Elexio Check-In in terms of ‘transactions’.

A transaction occurs when ALL of these steps take place:

  • A person is identified at the kiosk

  • They select at least one person from their family selection screen

  • They select at least one event to check into or out of from the selected person’s event list

  • They press the Finish button to complete the process


During each transaction, two things need to be determined with regards to hardware pagers:

  1. Does a hardware pager need to be issued?
    If any family member is checking INTO any event that is set up to use a hardware pager, then a  pager needs to be issued.

  2. Does a hardware pager need to be returned?
    If any family member is checking OUT OF an event that is set up to use a hardware pager, then  a pager needs to be returned.

 

Using Hardware Pagers with Events that Require Check Out

Pagers are issued once per family per day. The only way to return a pager is to set the event up for check-out and then check someone in that family out of an event that uses hardware pagers. The reports will clearly show who was issued the pager and if/when it was physically returned. Below are some common scenarios:

  • If a hardware pager needs to be issued and one has not already been issued to the family for  the day, the user will be given the opportunity to scan in a new pager.

  • If a hardware pager needs to be issued and one has already been issued to the family for the  day, the user will be given the opportunity to continue to use the same pager that was  originally assigned to the family or to get a different one.

  •  If a hardware pager needs to be returned but there are people in the household still checked  into events that use a hardware pager, the user will be notified and asked if they still want to  return the pager at that time.

  • If a hardware pager needs to be returned and there is no one from the household still checked  into events that use a hardware pager, the user will be asked to scan their pager in and it will  be compared to the pager that was originally issued and marked as returned if it matches.

 

Using Hardware Pagers with Events that Do Not Require Check Out

If you are not requiring that people check out of events, hardware pagers will never be returned as far as Elexio Check-In is concerned. In this case your reports may show that the same pager was issued to multiple families throughout the day. In the event that a pager goes missing, you can identify all of the families that used it that day but not necessarily if they returned it (although the most likely culprit would be the last family to scan it out).  

Below are some common scenarios for this approach: 

  • If a hardware pager needs to be issued and one has not already been issued to the family for  the day, the user will be given the opportunity to scan in a new pager. Keep in mind that this  may be a pager that has already been issued to another family for the day.

  • If a hardware pager needs to be issued and one has already been issued to the family for the  day, the user will be given the opportunity to continue to use the same pager that was  originally assigned to the family or to get a different one. If your parents are physically  returning the pagers then you should always choose to scan a new pager.
