System Options: Guest Check In

Use Guest Check In

Default: No

Use this option to turn on or off the ability to add new guests through the kiosk. Turning this option on will display the guest check in button in Kiosk Mode.

Additional Information (System wide)

When checking in a guest (adding a new person), this screen controls the fields (questions) that you would like to be displayed. The questions selected here will display in both the Kiosk and "Check-In Admin" on the ELEXIO Mobile App.

While these questions cannot be set as 'required,' we still suggest limiting the questions asked to make the Guest Check-In process as quick as possible.

Values:

Default: None selected

If you have turned Guest Check In on, users will be prompted to enter their name and the household they want to join or create. You can also prompt for additional information by selecting items in the list in this system option.

Prompting for more information reduces the amount of follow-up maintenance that needs to be performed on each person. The trade off for this is an increase in the amount of time a new guest will spend at the kiosk.

Use this option to select any additional information you want to prompt for during Guest Check In.

Guess Age Group Rule (System wide)

Default: When determining a person's age group, calculate their age as of Today

When adding new people to the database, the software will try to guess the appropriate age group based on the person's date of birth. Use this setting to specify a rule for estimating the age groups.

Status Code Mapping (System wide)

Values:

Default:

  • I am just adding a new family member = Set their status to PROSPECT (HAVE NOT ATTENDED) but DO NOT INCLUDE any applicable follow up processes.

  • This is my first time here = Set their status to ATTENDED 1 TIME but DO NOT INCLUDE any applicable follow up processes.

  • This is my second time here = Set their status to ATTENDED 2 TIMES but DO NOT INCLUDE any applicable follow up processes.

  • This is my third time here = Set their status to ATTENDED 3 TIMES but DO NOT INCLUDE any applicable follow up processes.

  • I have been here more than three times = Set their status to REGULAR ATTENDER but DO NOT INCLUDE any applicable follow up processes.

  • Default Status = Set their status to ATTENDED 1 TIME and INCLUDE any applicable follow up processes.

If you have turned Guest Check In on, you can use this option to set rules that tell Elexio Check-In how to handle newly added guests. If you are asking guests how many times they have attended your church, you can define status map rules for each of their possible responses. If you are not asking guests how many times they have attended your church, then you must define default status map rules.

Clicking on a View/Edit Rules link on the Status Code Mapping system option page will launch the corresponding status map rules editor.

The status map rules editor uses a default rule in the first box and supports two exceptions to this rule. The rules are in plain English text and use hyperlink menus which are highlighted in BLUE. Click on these hyperlinks to change the rules.

Example:

In the above example, this church set up Status Look Up Codes in Elexio Database for Attended 1 Time (Child), Attended 1 Time (Youth), and Attended 1 Time (Adult). They created a welcome letter for adults and set it to be triggered when a person's status changes to Attended 1 Time (Adult). They also created a welcome letter from their youth group and set it to be triggered when a person's status changes to Attended 1 Time (Youth).

Assuming that the Guest Check In option is on and that you are at least asking for Date of Birth and Age Group/Grade Level, you can use the Guest Check In feature to add a mom, her teenage son, and her first-grade daughter when they attend your church for the first time. Their statuses will be set to Attended 1 Time (Adult), Attended 1 Time (Youth), and Attended 1 Time (Child) respectively. Additionally, mom and her teenage son will be in the queue to receive the appropriate welcome letter.
