Group Action Wizard (GAW)

The Group Action Wizard (GAW) is designed to efficiently perform large-scale changes to Elexio Database data.  The GAW can be accessed from various locations throughout the Elexio Database.  You can use the GAW to maintain a group or mailing list.  You can manage this information in batches based on a selected group of people using the search by criteria mode.

Note: If you want to record attendance detail you won't use the GAW. Instead use the Attendance Detail screen.

Below is a screen shot of the Group Action Wizard interface.  Actions are divided into four steps and are designed to be performed sequentially from left to right.  Each action panel can be collapsed or expanded by pressing the double arrow button in the panel's title bar.  Click on each panel for more information about each step.

Select Action  

Specify the action you want to perform in the I Want To box by clicking on the drop down option arrow to make your selection.

Maintaining Groups and Mailing Lists

If you specify that you want to maintain a group or mailing list, you must then indicate the group or list type. You can maintain the people involved in core classes, follow up letters, mailing lists, ministry teams, and small groups by selecting the appropriate group or list type. You will then need to select the specific class, letter, list, ministry, or small group as well as the effective date. For core classes, you can specify a default status. For ministry teams and small groups, you can specify a default involvement level. These default values will be assigned to people when they are added to the Confirm Selection panel from the Select People panel but can be changed on a person-by-person basis.

Maintaining Attendance Records

NOTE: The Group Action Wizard is no longer used to maintain attendance records. Use the Attendance Detail screen instead.  

Select Search Mode

The next step in the Group Action Wizard is to select the people who will be affected by the action selected on the Select Action panel. You can use different search criteria in the Search Mode panel to create a quick list of people.

Search by name:  Select this option to display a list of everyone in the database in the Select People panel.

Search by barcode:  Select this option to populate the Confirm Selection panel by scanning barcodes that are linked to a person's account in the database.

Please note, the barcodes generated in Elexio Database are different from the barcodes generated in PDS Express.  If you previously used PDS Express and converted to Database, you will need to print new reports with the new barcodes to use the Barcode Scanner.

Search by criteria:  Select this option to create a list of people in the Select People panel based on advanced filtering. You can include people based on their age group as well as their involvement in a class, small group, follow up letter, mailing list, or ministry team. You can also limit the list to certain genders, marital statuses, or membership levels.

Select People

The Select People panel displays a list of people who are not in the Confirm Selection list. You can control the contents of this list using the search criteria in the Select_Search_Mode panel. You can also quickly filter the list by typing in the first few letters of the person's name in the search box.

Click the right arrow next to a person to add them to the Confirm Selection list. Click Select All to add the entire list to the Confirm Selection list. Keep in mind that any default values specified on the Select Action panel will be assigned to each person as they are added to the Confirm Selection list.

If you notice people are missing from your selection list, you will need to make sure that the person's status is included in the Group Action Wizard filter.  Click on the filter option in the lower left corner of the screen and then select the statuses you want included when you use the Group Action Wizard.

Confirm Selection

The Confirm Selection panel displays a list of people who will be affected by the action specified on the Select Action panel when the Save button is pressed. Click the left arrow next to a person to remove them from the list. Click the Clear List button to remove everyone from the list.

A full green dot next to a person's name indicates that no changes need to be made to that person's account. An open gray dot next to a person's name indicates that the proposed changes will be applied when the Save button is pressed. There may be additional data that can be specified depending on the action and event type selected.

You can change an individual's Involved As value by clicking on the arrow next to the value and making a new selection.  Notice the green dot will turn to gray requiring you to Save the change.
