Ministry Assessment

The Ministry Assessment link is the place to enter information about each person’s Spiritual Gifts, Passions/Heart, Skills/Abilities, Personality, Experiences, interest in Sports/Hobbies, and Training (certifications, degrees, licenses) or your church's own Assessment codes.  This link is designed to be compatible with the SHAPE© method used by Saddleback Church as well as the Network© gifts assessment system used by Willow Creek Church.  To enter Ministry Assessment information, select a Type of Ministry Assessment code to enter in the first drop down box.

For example, if you select Spiritual Gifts, the next drop down box labeled Description will list all the spiritual gifts recorded in the Bible.  You may select a spiritual gift from the list (or type a new one).  You can enter as many spiritual gifts as required; however, you may not enter the same gift twice.  The Value/Scale box is included for tracking test scores or any kind of rating scale you wish to use for any of the SHAPE codes.  For example, if you administer a spiritual gifts assessment test, many of the tests results will rank on some kind of scale to indicate how strongly one displays certain gifts.  You could enter these scores to make a quick assessment of those gifts most strongly displayed.  The Value/Scale box is not required but is available for any use you wish.

Passion/Heart – This code type works the same way as Spiritual Gifts.  The description list is pre-loaded with three different types of Passion/Heart codes.  The first 15 are from Rick Warren’s 301 Class and begin with Acquire/Posses, Design/Develop, etc.  The next set of Heart codes deal with life stages or life situations beginning at infancy through people that are hospitalized.  The last set of codes deal with significant issues that are passionately felt by many people and may be ministry opportunities. They include issues like Abortion, AIDS, Poverty, etc.

You may assign an unlimited number of Passion/Heart codes to each person, but you cannot enter the same one twice.  To add additional codes to the drop down list, go to the Administration Home screen, select the Look Up Codes link and the type called Passions/Heart.  You can also add a new code by typing it in the Description box.  You will be prompted to confirm that you want to add the new code to the drop down list.  You may enter an unlimited number codes in the drop down list. 

Skills/Abilities – Elexio Database has pre-loaded over a hundred different skills and ability codes which you may find useful in the ministry of your church.  For example, you may find it very helpful to know who in your church has mechanical skills and can fix cars for your single mother’s ministry.  You would select the Auto Mechanic code for this person.  Or you may want to know who has snow removal skill and equipment.  You’d select the Snow Removal code for this person.

To retrieve a list of people with any of these skills, use the Custom Search feature and select the Skills/Abilities field to search.

You may enter an unlimited number of Skills/Abilities for each person.  If you’d like to add new Skills/Abilities codes, type the new code in the box and you will be prompted to confirm you’d like to add it to the list.  You may enter an unlimited number of Skills/Abilities codes in the drop down list.  Enter, edit or delete existing codes from the Administration Home screen on the Look Up Codes link under Skills/Abilities

Personality – Elexio Database allows you to use any type of Personality test.  Elexio Database is pre-loaded with the Myers/Briggs© personality traits (Introvert/Extrovert, Intuitive/Sensing, Thinker/Feeler, Perceiving/Judging), the traits used in the 301 Class, Network©, and the DISC© test.  You can use the Scale box to track test scores to help you understand how strongly a person displays a certain Personality trait.  If a personality trait has an opposite, then you cannot enter both personality traits.  For example, if a person is a Thinker, you cannot enter the Feeler trait.  If a person is Task-Oriented, then you cannot enter People-Oriented.  However, for the DISC profile, you’ll want to enter all four traits and the test scores in the Scale box to know how dominant or influencing, etc. a person scored. 

Enter, edit, delete or change the trait-pairing on the Administration screen, Look Up Codes link.  Select the code type Personality

To retrieve a list of people with any of these Personality traits, use the Custom Search feature and select the Personality field to search.

Experiences – The Experience’s Shape type is how you can track past events in people’s lives that may be used for ministry, especially painful experiences that God can use to help others heal.  Elexio Database is pre-loaded with a number of typical Experiences ranging from Abortion to Physical Abuse to being a Victim of violent crime.  You should be especially mindful of the confidentiality of this type of information and whether it is appropriate to enter it in the database.  The purpose of entering it is to discover people who might be willing to help start or join ministries, especially recovery type ministries.  It is recommended that you get permission to store this info in Elexio Database from the person who shared their painful experiences and make some kind of determination about whether they should be contacted in the future regarding this matter. 

You can enter, edit, delete or change these codes on the Administration Home screen on the Look Up Codes link by selecting the Experiences code type. 

To retrieve a list of people with any of these Experiences, use the Custom Search feature and select the Experiences field to search.

Sports/Hobbies – You may find it very helpful to enter people’s interests in sports and other activities so that you may network people along common interests.  For example you could record interest in sports, then using the Custom Search feature, look for every one that likes basketball.  Then send an email to all the basketball players to inform them of your new basketball program.  You could track interest in computing and announce a new online small group.  The possibilities are endless for how you could use this capability to help people find community.  The more you enter about people the better your odds of helping people connect through your church.

To retrieve a list of people with any of these interests in Sports/Hobbies, use the Custom Search feature.

Training (Certifications, Licenses, Degrees) – This box allows you to track the professional certifications, licenses, degrees, and other training that people have.  For example, many youth pastors and children’s ministers require their teachers to have training in CPR in case of an emergency.  If the church needs a bus driver it would be nice to know who in your church has a Commercial Driver’s License and could drive the church bus.  It would be great to know who has degrees in counseling, therapy, social work, etc. so that you may call on people at your church when certain expertise is needed. 

You can enter, edit, delete or change these codes on the Administration screen on the Look Up Codes link by selecting the code type of Training.

To retrieve a list of people with any of these Training codes, use the Custom Search feature and search on the Training field.

My Church Assessment - This code was created to provide flexibility for a church to implement additional terms for tracking an Individual's SHAPE. It can be customized for denominational terminology or for another system available commercially that is not implemented into Elexio Database.

Enter, edit, delete or change these codes on the Administration screen, Look Up Codes link by selecting the code type My Church Assessment.

Ministry Assessment Interview:  You may wish to conduct personal interviews with each person that goes through your gifts assessment program.  You may enter the date that the interview was conducted or when it is scheduled to be conducted.  This field will be helpful in knowing who needs a follow up. 

Interviewed By:  This box allows you to select who conducted the Ministry Assessment Interview.  This drop down box is populated by people on the Ministry Assessment Guides/Counselors Ministry Team.  If you want to add more people to this drop down list you must first add them to the Ministry Assessment Guides/Counselors Ministry Team with an Involved As level that is more than just Interested.

It is recommended that the Ministry Assessment Guides/Counselors enter any additional notes from the interview in the Notes section on the People screen - Personal link.  If it is discovered that the person being interviewed is suited for other ministries that they are not currently involved in, they should be assigned to those applicable Ministry Teams with an Involved As level of Interested.  This will cause their names to appear on the Follow Up List sent to the Leader of the Ministry Team.  If other staff members need to follow up with the person, then Follow Up Requests should be entered on the Personal link.  The Ministry Assessment Interview is also another opportunity to verify that all the information in the database is correct for the interviewee.

Availability: In assessing a person’s readiness for ministry, you must know how much time they have available each week to do ministry.  This drop down box allows you to select the amount of time a person is willing to give toward ministry.  These codes can be changed on the Administration Home screen on the Lookup Codes link and by selecting the code type Availability.

Personal Style:  People tend to operate comfortably as either Task-Oriented or People-Oriented or they like their environment to be either Structured or Unstructured.  By making an assessment about one’s personal style, you’ll be able to better place them in ministries they will flourish in.  This field matches the Network© gifts assessment system.  These codes can be changed on the Administration Home screen on the Lookup Codes link and by selecting the code type Personal Style.

Spiritual Maturity:  This field refers to one’s current level of spiritual maturity as it relates to where would be an appropriate place of ministry for them.  For example, you wouldn’t want to put a new believer in the teaching ministry.  This field is different from the Seeker check box on the General Info link in that it relates to one current level of spiritual maturity. The seeker checkbox denotes whether a person was a Christian prior to their involvement with your church.  These codes can be changed on the Administration screen on the Lookup Codes link and by selecting the code type Spiritual Maturity.

Evangelism Style:  Evangelism Style refers to how a person most naturally shares his or her faith.  The codes included in this drop down box are used in Willow Creek’s Network gift assessment program.

Background/Reference Check:  Some ministries may require background checks to be performed prior to one serving in an area.  Particularly Children’s Ministry and Youth Ministry often require these kinds of checks.

You can track an unlimited number of background checks. You can do these manually or use our Automated Background Check feature.

To record that you performed a background check, select Click here to add a new row and click in the Stage field to select what kind of background check you are doing.  You have control over this list.  Go to the Administration link and the Lookup Codes section to edit this list.  

In the Status field indicate whether the person passed/failed.  You may need to make the status pending while you wait for the results.  Or you may need to discuss the results with the person or another staff member before you can approve it.  

The Date field will automatically put in Today's date.  

In the comment field you can enter any additional notes about the results of the background check and your justification for pass/fail.

We also offer Automated Background Checks using a company called SecureSearchTM .  This feature allows you to request a background check directly from an individual's profile within Elexio Database, thus saving you time and energy since you don't have to retype information on a separate form or website to submit to a company.  Once completed, a report in pdf format is automatically saved in Elexio Database.  See the Automated Background Checks for more info.
