Reports Overview

The Reports screen offers very powerful ways to view your data and get the information you need.  You can export your data into many different formats including labels, name tags, lists, directories, Excel spreadsheets, or Word mail merges.  All Reports are organized into topical categories as shown below.

Finding Reports

You can find the reports in 3 different ways:

  1. Expand the category folder that looks applicable and look for the report you want

  2. Or just type the first few letters of what kind of report you are looking for in the Search box at the top.  For example, type "bap" and you will instantly see all the reports that have to do with Baptism.  If you want to see Members, just type "mem" Elexio Database searches the report title and description for a match.  Need to see R1094?  Just type "94".

  3. Click on the My Favorites button (yellow star) to see reports that you have previous marked as your favorites.  My Favorites is a personal list of frequently used reports.  To add to this list select a report you want to add. Then click the Favorites button (yellow star with a green plus sign) at the bottom of the screen.

TIP:  If you need more room to read the longer titles of the reports, you can grab the slider bar and drag it to the right to expand the column width of the report list.

When you see the report you are looking for, click on it to select it.  The Name and Description of the report appears at the top.

Filters can be added to existing reports to expand or condense your searching criteria.  See the section on Report Filters.

When you are ready to see your report, click on Run Report at the bottom right hand side of the screen.  In a few seconds your report will appear in Print Preview Mode in a separate window.  See the Print Preview Mode section for a description of all the things you can do while viewing a report.

At Elexio, we get an endless number of requests for reports from our users.  This is a common issue with ANY database software, not just church software.  Why? Because there are an infinite number of ways to present the data according to the needs of each local church.  This makes for a potentially very complex reporting system.  Our philosophy is to create ways to deliver reports that appeal to all skill levels.  

We offer three main types of reports:

  1. Pre-programmed Reports (R / M) - These are "point and click" reports that we have designed based on our experience as pastors and the feedback we have received over the years.  You simply select what report you want and then run it. You may have to enter a few parameters first, but these reports are very easy to use with no technical knowledge required.  All of these reports have a code letter of "R" or "M" (for Mailing List) in front of the report number. For example "R1013" is a Prayer Request - Active report.  All you have to do is select a date range and click Run Report and you will get a list of all the active prayer requests for the people at your church. R1021 is the Weekly Vital Stat report which is one of our most powerful (and complex) reports in Elexio Database.  We did all the heavy lifting for this report; you just pick what Sunday you want to see.  The downside of these kinds of reports is that you have no control over what fields are included on the report or any of the formatting features.

  2. Custom Searches (CS) - These reports have set formats with fixed data listed but they have many filter options so you can define the criteria of who is listed on the report. These reports also provide a variety of output options (lists, labels, mail merges, mass email, etc.).  You can temporarily modify the original reports by adding simple filters or you can create your own custom searches for easy access later.  All of these reports have code letters of "CS".

  3. Field Chooser Reports (FCR) - These reports allow you to select exactly which data fields you want to see as well as use complex filter options to further define your search criteria.  You can choose which fields to include and create a customized format by using the sorting and grouping settings.  You also have a variety of output options and a quick and easy Excel spreadsheet formatting tool.  You can make temporary modifications to the original report by adding filters or you can make changes and save them under a new name without changing the master report.  These reports have code letters of "FCR".  See our Field Chooser Reports section for detailed info.

We also offer access to your raw data in SQL Server if you can justify it to us. We don't support this, but if you have skilled database programmers in your church and want this capability please contact our technical support team.

A Few Words about some of the Pre-programmed Reports:


Directories can be used independently or along with Report Filters to create lists of various groups within the church.  The list can include the household name, the selected individuals, address, phone and email address.  There are many different directories formats to choose from.  There are also Confidential Directories for staff use which includes communications types marked private and those families who do not which to be included in the public directory.  

Small Groups, Ministry Teams, Classes, & Events

When you select a report from the folders: Small Groups, Ministry Teams, Classes, or Events, the Report Options tab will allow you to select specific Small Groups, Ministry Teams, Classes, or Events that you have listed in the database.  

TIP:  By default, the first item in a list of small groups or ministry teams is selected.  But you don't have to accept that if you want to run multiple groups at once.  Just delete the selected group.  Then use a Report Filter to select the groups you want.

You have many different output options from these lists, which are explained in the Output Format section.


Chose a report from the Service folder and specify, using the drop down options, which service you want to run the report.  This category is especially geared for weekly individual attendance tracking and allows you to print a list of all the people that attended a specific service or during a specified date range.

Mailing Lists

The Mailing List - User-Created is where you can select one of your specific mailing list and select your desired output options.  

Vital Stats Weekly Report

This is a one page report on key church health measurements.  This report (R1021) shows your attendance for Events based on attendance numbers, attendance for 1st - 4th time visitors, offering, commitment levels, small group numbers, and ministry involvement numbers.  The Vital Stats report gives you information in real time.  We strongly suggest that you save or print a hard copy of this report if you want to compare information over the year.  

Can't Find a Report:

If you can't find a report, please contact Technical Support for assistance.  Our highly trained support team will help you find a report or make suggestions on how to store your information in Elexio Database so you will get the desired outcome you are look for.  We are adding new reports regularly based on the needs of our clients.  If we determine that your request for a new report would be beneficial to the whole Elexio Database community, then we will create the new report for free and include it in a future release.  If your request is specific to your church or you need it by a certain deadline, then we will provide a quote for the cost to create it for you.  We retain the rights to any reports we create on your behalf and at our sole discretion we will determine if they will be shared with the entire Elexio Database community. Together we serve Kingdom of God and help other churches.
