There are a couple of different options for tracking your children’s attendance information depending on how much time you want to invest and the types of reports you want to run.

Services:

Track CM by Service Time (CM 9:00 Service)

  • Minimal data entry time
  • Useful when you want to track total attendance number for CM and you don’t want to track specific teachers or compare weekly attendance records for each specific age group for a specified time.
  • Use Enter Attendance Detail (under Quick Links) to track attendance and enter all children into the CM Service
  • Attendance Reports will reflect a total number – more work to pull individual age group attendance records.
  • R1010 Attendance Presence/Absence run for all age groups for a total count (can us age group filters to pull individual reports for each age group but time consuming)
  • FCR3212 Attendance Details (add age group field and group by individual age groups to see attendance totals for a specific day or time period)

Track CM by Age Group (CM 1st grade or more detailed CM 1st grade first service)

  • More time consuming than option 1 because you have to track attendance by each specific service.
  • Useful when you want to track attendance numbers for individual age groups as well as total attendance for all CM services.  Does not track specific teacher information.
  • Use Enter Attendance Detail to track attendance and enter children into their specific services – use the search criteria (age groups) to simplify your list of names.
  • Attendance Reports will reflect a variety of output options in addition to the reports stated above, you have the following summary report
  • R1006 Attendance Summary – Use the attendance data from the People Screen Attendance & Events section to show attendance numbers by specified time over a specified time (i.e. weekly over the last 2 months).  This is a good report if you want to compare your total attendance numbers for each of your CM services over the past month.

Small Groups

CM 1st graders (set up as a small group not service)

  • More time consuming than options 1 or 2 because you will be tracking your CM Classes as small groups.  You will need to create new small groups each time you move your kids up if your small groups are divided by ages and children need to be assigned to a specific small group.
  • This is a great way to track CM attendance if you like to assign a teacher to a specific small group.  The teacher can also track the attendance of their CM small group from the Portal without having to have Database installed on their computer.
  • Small Group Attendance reports are pulled for each individual small group.
  • Use the age group field in FCR3212 to group by individual age groups to see attendance totals for a specific day or time period
  • R1010 Attendance Presence/Absence can be used when you select Event Type “Small Groups.”  You can run for all age groups for a total count (can us age group filters to pull individual reports for each age group but more time consuming)
