Content Conversion from Intellisite

IntelliSite is our older web site solution, available before April, 2011. For content transitions from IntelliSite to Website, our support team will send you an email once your conversion has been completed. (Usually that is within a few days of the Elexio Website order.)

Elexio Website includes a rich set of tools that significantly expand the capabilities IntelliSite provided. Because of the differences between Elexio Website and IntelliSite, some content cannot be converted directly.

Steps to a smooth site conversion

  1. Get to know how Elexio Website works. Work through the video Getting Started for IntelliSite Users and the article on Building Your Site to cover the basics. Work through these with new, blank Website pages so that your converted IntelliSite content is not a distraction.
  2. Check each area listed below (Website Design, Channel Content, Main Body Content, etc.) to understand how those areas were affected by the conversion. Most sites don't have to deal with every area, so just review the sections that are relevant to your site.
  3. Adjust your content or create new content as needed. We recommend you review each page on your site to ensure all your converted content is displaying as you want it to. Depending on the complexity of your website and content, be prepared to spend several hours or more.
  4. As you get close to being ready to make your Elexio Site live (that is, the site that shows when someone goes to your web domain like myexamplechurch.org), check out this article on Launching Your Site. Note: For most IntelliSite clients, Elexio handles your domain. But check with our support team to make sure that's the case, since that can affect your transition.

Here are the specific areas to consider in your converted content...

Website Design

  1. When your site is converted, it will be placed on a standard Dynamic Canvas® design.  You may need to change your design using the Dynamic Canvas® Manager. (See Canvasses and Page Designs). Custom designs are not automatically converted.  If you are interested in converting a custom design, please contact your sales representative to put together a quote on converting your custom design to work with Elexio Website.

Channel Content

  1. Any text channel content that appeared on an IntelliSite page is included in the content area of the converted page in Elexio Website. This includes footer content, which you will often want to delete from you page content area.

Main Body Content

  1. When you first open a page's main body area to edit it, you may notice the text converted does not appear the same size it was before. Elexio Website updates the formatting of old content to current web standards, which sometimes changes the font size. There may be other formatting issues related to old code embedded in your content. The good news is you should only have to do this once...
    • The best fix is often to highlight all of the content and then click the "Remove Formatting" button in the content controls. This strips all formatting from the content, leaving the content very clean but with some re-working to do.
    • Another option is to just start adjusting. You may need to expand "Advanced Options" in the Rich Content block, then highlight and modify your text size or make other adjustments. Don't forget to check different browsers, since they can handle the old unseen code differently.

Pages and the old IntelliSite "Page Folders"

Alert: This is a significant area for most IntelliSite to Website conversions!

Page area folders from IntelliSite are converted to actual pages in Elexio Website. Since IntelliSite folders did not display any content and only organized pages, these pages in Elexio Website will be blank. If you don't want to rearrange your page structure, you have a couple of options for these new blank pages:

  1. Add content to the new page. This could include general information or highlights about the pages in this section and links (possibly graphics) to each one.
  2. Set the page to function like it did in IntelliSite. Clicking on a folder in IntelliSite opened the first item in the folder. To do this in Website, go to the Pages area and select the page, then check "Redirect Menu Item" and set the link to go to the first page under the selected item. (See the section "Setting a menu item that organizes your menu without displaying content" in the article Menus on Pages: Site Sections and Redirects.) (Those aren't the shortest titles, but the content should help you!)

  1. In IntelliSite, you were able to have multiple categories within a calendar (Ex: youth, worship, general, etc.).  These categories are converted as Tags in an Elexio Website calendar. You can filter calendar events via tag, just like you filtered via category in IntelliSite. (See Calendars).
  2. You will also want to verify that your editors converted from IntelliSite still have rights to add calendar events in Elexio Website. For information on assigning rights to calendars, see item 4 under the Quick Start heading in Calendars.

  1. Due to the very different nature of forms in Elexio Website, the IntelliSite form content will not function. All IntelliSite forms will be placed on pages in Elexio Website so that you can see the form information for reference, You will need to add a new page and recreate your form using a Form Block. (See Creating Forms).
  2. Form data from your IntelliSite forms will be saved to your Files Area in a csv document.

Search Page

  1. Elexio Website takes advantage of Google's world-class Site Search. While your search pages will be converted to search blocks, you'll need to sign up for a free Google account to make them functional. (See Setting up a Site Search).

Media Center

  1. Elexio Website has it's own Media Center block. Since the IntelliSite Media Center and the Website Media Center are so different, we've not created an automated way to convert media resources from one to the other, they'll need to be re-setup.

To make transitioning easy and quick, we recommend populating the new Media Center block with just the last few weeks or months worth of messages. You can use a file gallery block to create a simple archive for everything else, or manually add older message to the Media Center at a later date.

Donations Pages

  1. Elexio Website uses HigherGiving in place of the Intellisite Donations module. (See Infinity Blocks).
  2. Online Giving History from the IntelliSite donations module will be saved as a csv file to your Elexio Website Files Area.
  3. If your organization is using Elexio Database (formerly called PDS Live) we recommend that you do not use HigherGiving, but instead use the online giving provided through Portal so that your online giving is recorded in the Elexio Database. (Online Giving via Portal has the same feature set as HigherGiving, but also ties into your database).

  1. Blogspot.com blogs displayed on an IntelliSite page via the Blog module will be placed on an Elexio Website page within an iframe.
  2. Elexio Website includes a basic blog block. (See Adding a Blog). You are welcome to begin using this new blog block or keep updating your current blog at blogspot.com.
  3. Because of the differences between the blog block and the IntelliSite Blog module, any content from your blogspot.com blog will not be converted into an Elexio Website blog block.

  1. Directory entries will be converted to people in your People area. (Images associated with people will not be converted).
  2.  Any directory fields that do not appear within the Website People area will be added as custom fields for each person.
  3. Directory roles will be converted to groups, and the directory entries assigned a particular role will be placed in the corresponding groups.
  4. Directories themselves will also be added as a group, and all the people from that directory will be placed in the group.

Elexio Website does not include a specific block for directions, but you can set one up using an HTML block. See Maps and Directions.

People and Permissions

  1. IntelliSite site editors will be converted to people in the People Area of Elexio Website.  We strongly recommend that you change an editor's username to their email address.
  2. In Elexio Website, general settings for editing and publishing are set in the People Area. Specific page by page editing and publishing settings are managed in the Pages Area. (See People: Security Settings).
  3. After conversion, it will be important to review these settings for each person to verify your editors and publishers can still make changes to their assigned pages.

Private Areas

  1. In IntelliSite, you set up Private Areas and assigned them to pages or folders to make those pages or folders password protected. Private Areas were designed with a group login in mind - multiple users accessing pages using the same username and password.
  2. Unlike IntelliSite, people are set up in Elexio Website with their own individual username and password. Individual users can then be assigned to groups so that you can easily assign password security to multiple people in one click. (See Site Users and Groups).
  3. During content conversion, the Private Areas you have created will be set up as people in the People Area so that you can still reference the pages they were assigned access to.
  4. To make the same pages password protected and accesible by the same people, you will need to:
    • In the People area, set up a group by the same or similar name as your Private Area.
    • Place the individual users who used that Private Area login into that group. (ex: place all the people who used the old 'members' username/password into the new "Members" group).
    • In the Pages Area, select a page that should be password protected, click on the Access Tab, and move your new group to the Allowed box. (See Access Security: Requiring a Login). (This is where you may need to reference the 'person' converted from a Private Area to review which pages could be accessed).
    • Delete the people that were converted from Private areas when finished. These will no longer be necessary since they have been replaced by groups.

Redirect Pages

  1. In IntelliSite, Redirect Pages were used to add a menu item that linked elsewhere, such as another page on your site. For example, you would often use Redirect Pages to poplulate Quicklinks or Utilities menus so that you wouldn't have two pages with the same content, but rather one page that linked to the other when clicked. In the Intellisite Pages Area, redirect pages had a blue icon to make them easy to differentiate.
  2. While your Redirect Pages will be converted to pages in Elexio Website, they may no longer be necessary. Many areas, such as Quicklinks and Utilities menus are now Menu Blocks, and are not populated using Redirect Pages. (See Menu Blocks).
  3. You will want to review your Pages Area and delete any unnecessary pages.

Simple URLs

  1. Simple URLs (ex: http://example.com/youth) are converted to Pages in the root folder of your Pages Area.
  2. These pages will be set to redirect to the same page as they did in IntelliSite.
  3. Because Elexio Website uses page names instead of ID numbers in a URL, (ex: example.com/ministries/music vs. example.com/123456.ihtml) you may no longer need these pages and could potentially consider removing them.

Extended Statistics

  1. Extended Statistics will be replaced by Google Analytics. Google Analytics is free and it's world-class - that's a combination you don't often find. For instructions on setting this up, see Addding Google Analytics.
  2. Your Extended Statistics reports will be placed in a zipped folder in your Files area.
